Three flows run simultaneously once the integration is active: Simpro to QuickBooks Time: When a new employee, customer, job site, or job is created in Simpro, it automatically populates into QuickBooks Time. Field staff can see their assigned jobs without any manual data entry in the time-tracking app. QuickBooks Time to Simpro: Once timesheets are approved in QuickBooks Time, actual hours sync back into Simpro against the relevant jobs and labour cost centres, showing actuals alongside your quoted estimates for each job. QuickBooks Time to Xero: Approved timesheets push into Xero for payroll processing, with pay rules (overtime, penalty rates, allowances) calculated automatically by QuickBooks Time’s pay engine.

Yes. You can schedule in either Simpro or QuickBooks Time. Schedules created in Simpro will flow through to QuickBooks Time automatically, where field staff can see what’s assigned to them for the day.

Field staff downloads the QuickBooks Time app on their phone. When they arrive on site, they clock on and select the job and labour cost centre they’re working on. If they move to a different job during the day, they switch to the new job in the app. At the end of the day they clock off. The app also records geolocation while clocked in, pinging every few minutes to log a movement trail.

QuickBooks Time includes a pay calculator that can be configured with individual pay personas per employee, covering overtime, penalty rates, and allowances. The pay calculator handles the large majority of pay rules, with some small manual adjustments needed for edge cases.

At the end of the pay period, an admin reviews the week’s timesheets in QuickBooks Time and checks for anomalies, for example, someone left clocked in overnight. Once satisfied, they approve the timesheets, which triggers the push to Xero (payroll) and Simpro (job actuals). If a timesheet needs correcting before approval, it can be edited and resubmitted.

QuickBooks Time is priced at approximately $25 per person per month. The Xero payroll integration is included and set up as part of onboarding. Syncezy’s fee for the Simpro / QuickBooks Time integration is separate; contact the team for current pricing.
